Customer Service / Shop Coordinator Associate – Furniture Manufacturer

One of Chicago’s last furniture manufacturers, and wood-shop companies, is seeking a responsible, creative minded, detail-oriented individual for the company’s open position of Customer Service / Shop Coordinator Associate. This role will require: quality-driven consistent work, creativity, maintenance, reliability, and excellent customer service skills. This position is vital to supporting the company’s reputation of producing and delivering products that meet our customer’s hand-made quality expectations.

Customer Service Responsibilities:

– Act as the voice of the company when communicating with customers via phone, email and chat
– Key part of a team which is responsible for the timely and accurate fulfillment of all company orders and installation projects from the initial sale through order completion – ensuring complete customer satisfaction.
– Proactively contact customers to keep them informed of the status of their order, and any preparation required for install / or delivery, and any other information regarding the order (e.g., time of installation/delivery).
– For certain orders will have to initiate contact with vendors and service providers in order to establish shipment and installation dates.
– React to all types of customer inquiries when there are questions and concerns with installations, product receipts, and order updates.
– Provide knowledgeable answers to technical questions about our products
– Assist customers in choosing the best products to fit their needs
– Process customer orders and maintain customer relationships
– Communicate with our shop/warehouse team to ensure customer satisfaction and accommodate special requests
– Coordinate with our shipping partners to resolve delivery issues and set up return pickups
– Develop creative solutions to enhance customer experience
– Collaborate with other team members to create promotional content and assist in marketing efforts
– Interact with vendors, installers, associates in the store, trucking/shipping companies and the customers to ensure that excellent customer service is achieved.
– Regularly work with, and update, company’s production software, and excel spreadsheets

Shop Coordinator Responsibilities:

– Perform general clerical duties to support product leads, support producers, and production managers
– Manage, coordinate, and maintain: production calendars, work-plans and scheduling
– Provide telephone coverage; take messages and direct calls
– Maintain work-plan budgets and track team productivity
– Plan and coordinate events and seminars; handle catering (*not a major function of role)
– Help coordinate, organize and schedule off-site productions / installs
– Arrange production team meetings and necessary team travel
– Make sure product leads and producers know their weekly order responsibilities, i.e., assist in the direction of their daily company activities
– Collaborate with product leads to meet the needs of the shop staff
– Participate in short- and long-term planning aligned with goals set by managers
– Work with all departments that contribute to the company’s production
– For all, From-Chicago-Location order shipments; manage, coordinate, and schedule order shipments, using 3rd party shipping vendors, and the collaboration of the company’s packaging team

What you’ll need for this role:

– Excellent verbal and written communication skills, good knowledge of English
– To be detail-oriented and highly organized
– Have a positive can-do attitude, strong communication skills, and the ability/willingness to work well with others.
– The ability to thrive under pressure in a fast-paced environment
– An interest in working for a fast-growing, evolving, young company
– A strong desire to not only assist customers but also give them a memorable and satisfying buying experience by going above and beyond expectations.
– General computer skills, and proficiency with Microsoft Excel
– Good understanding of basic math
– High school diploma; proven work experience in customer service is preferred
