The duties and responsibilities in this position are:
Welcomes clients by warmly greeting them, in person or on the telephone; answering or directing inquiries;
Follow office opening and closing procedures checklist every day;
Accepting payments and preparing receipts as clients pay or replenish their accounts;
Maintaining and scheduling conference rooms;
Closely monitor office calendar;
Maintaining the reception area, conference rooms; or other common areas;
Maintain postage meter;
Serving coffee, soft drinks or water to guests and clients;
Organizing the supply cabinets and keeping the office stocked with supplies;
Scanning, photocopying, constructing case files and client/prospective client folders;
Collecting and routing mail and hand-delivered packages;
Verifying employee timesheets;
Maintain direct mail campaign;
Mail-outs including thank you cards, brochures, birthday and holiday cards;
Keeps office organized by establishing and organizing folders; monitoring calendars;
Meeting deadlines; documenting actions; inputting information into file database and case management software; confirming client status with attorneys;
Maintains Office’s appointment schedules by planning and scheduling among other things, meetings, consults and telephone consults;
Maintains client’s confidence and protects operations by keeping information confidential;
Shredding material in shredder box;
Contributes to team effort by accomplishing related results as needed;
Appear at work on time and not abuse sick time policy; and
Any other duties that may be assigned from time-to-time
