Description

Fleet Operations Assistant provides administrative support for the managers and yard. In addition to filing, performs duties such as payroll, obtaining supplies, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Independent judgment is required to plan, prioritize and organize diversified workload.

Essential Functions
1. Maintain vehicle and equipment information files. Retrieves information from files when needed.
2. Sorts and distributes mail. Responds to regularly occurring requests for information.
3. Assist with day-to-day shop operations, administrative processes and inventory/parts procurement.
4. Collects and reviews payroll on Monday mornings in preparation for weekly package to the corporate office.
5. Monitor all drivers’ paperwork to ensure completeness.
6. Update and maintain equipment list.
7. Maintain ticket tracking.
8. Assist maintenance department with parts distribution.
9. Responsible for maintaining the registration and insurance cards for fleet vehicles.
10. Work with Managers and Safety Compliance team members to ensure employees are working safely and in compliance with OSHA, Environmental and DOT policies.

Required Qualifications
1. Proficient with MS Excel, MS Word
2. Be able to lift and load supplies up to 50 pounds.
3. Ability to manage multiple tasks and take initiative when needed.
4. Excellent attention to details and highly organized
5. Valid driver license and clean driving record.
6. Excellent verbal and written communication skills.
7. Ability to work in a shop environment.
