Job Overview
Macy’s Branded Entertainment is looking for a Holiday Production Assistant for the upcoming holiday season. This position will support the production operations team in various aspects of production supporting Macy’s Santaland and Macy’s Thanksgiving Day Parade, as well as general office support.
Essential Functions:
· Schedule meetings, trainings, deliveries, and ticket distributions.
· Coordinate mass mailings, employee ticketing, and training event logistics.
· Prepare/update official handbooks, training manuals, RSVP lists, sign-in sheets, and security lists.
· General office duties include answering phones, taking reservations, research, data entry, ordering supplies, etc.
· Crowd control
· Event assistance
· Customer service
· Assist with other aspects of the operation, load in/load out activities, and/or event set up/strike for various Macy’s holiday events, trainings, and attractions.
· Data entry into FileMaker Database Receiving
· Analyzing database/online registration system Information
· Assist with planning of pre-parade events for Parade Group
Additional responsibilities include:
· Spearhead logistics and communication for Macy’s Singing Christmas Tree project which involves the following:
· Partner with creative team on planning welcome reception
· Field all questions from internal employees leading up to Parade Day while partnering with HR and travel department
· Coordinate all transportation for employees
· Create and manage group itinerary
· Partner with studio team on wardrobe
· Arrange hospitality items for group including welcome gifts, gift bags, name tags, etc.
· Arrange meals for week of event
· Partner with creative team on b-roll opportunities
· Partner with tourism team on available group excursion options for employees
Qualifications
Education/Experience:
- High School diploma (or equivalent) required
- Bachelor’s degree preferred
- Prior experience in administrative & clerical preferred
- Computer and general technical competency required
- Data entry skills required
· Background in theatrical/event production, stage management or company management a plus
Communication Skills:
- Excellent phone skills required
- Strong interpersonal and communication skills
- Customer service experience
Reasoning Ability:
- Must have the ability to work independently with minimal supervision
- Must be able to multitask in a fast paced environment
- Present a professional image consistent with Macy’s brand values
Physical Demands:
- Prolonged sitting or standing (more than 2 hours) should be anticipated
- Heavy lifting (over 50lbs) and getting dirty should be expected in this position
Other Skills:
· Basic computer skills. Experience with Outlook, Excel, Word, Power Point, Publisher preferred
- Organizational skills including strong prioritization and flexibility
Work Hours:
Flexible with scheduling and available to work retail hours which will include some evening, weekends and/or holidays. Working Thanksgiving Day, Black Friday, and Christmas Eve should be expected.
